Purpose

Smart Storage is committed to ensuring the privacy and confidentiality of your personal information. Smart Storage must comply with the General Data Protection Regulation (GDPR) and the Data Protection Act 1988.  The 1988 Act was amended by the Data Protection (Amendment) Act 2003. The 2003 Amendment Act brought our law into line with the EU Data Protection Directive 95/46/EC. These legal frameworks ensure Smart Storage handles your personal information (including but not limited to patient health information) in a secure and confidential manner. The purpose of this Privacy Policy is to clearly communicate to you how Smart Storage handles your personal information. It will give you a better and more complete understanding of the type of personal information that Smart Storage holds about you and the way Smart Storage handles that information.

This Privacy Policy was last updated in May 2018 and may change from time to time. The most up-to-date copy will be published on the Smart Storage website or can be obtained by contacting us on the details set out at the end of this policy.

HOW SMART STORAGE HANDLES YOUR PERSONAL INFORMATION

2.1 Smart Storage Legal Obligations

As mentioned in Part 1 of this Privacy Policy, Smart Storage is required to comply with the General Data Protection Regulation (GDPR) and the Data Protection Act 1988. As part of this we are regulated by the Office of Data Protection Commissioner (ODPC) and acts as Smart Storage’s Supervisory authority.

The ODPC is an independent public authority which regulates how Smart Storage may collect, use, disclose and store personal information and how individuals may access and correct personal information which Smart Storage holds about them.

2.2 Terms used

In this Privacy Policy, we use the terms:

Personal data” means any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person:

Primary purpose” means the specific function or activity for which the information is collected.  Any use or disclosure of the personal information for another purpose is known as the “secondary purpose”.

Processing” means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

Controller” means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law.

Processor” means a natural or legal person, public authority, agency or other body which processes personal data on behalf of the controller.

Consent” of the data subject means any freely given, specific, informed and unambiguous indication of the data subject’s wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing of personal data relating to him or her.

“Personal data breach” means a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data transmitted, stored or otherwise processed.

Supervisory authority” means an independent public authority which is established by a Member State pursuant to Article 51.

Smart Storage

As data Controller Smart Storage will only store, collect and use you data for the primary purpose. The primary purpose is to provide quotations, products and services. Should we wish to use your information for a secondary purpose we will only do this with your consent. We will never sell or lease your information to third parties. We may need to share your information with our specific business partner services such as our couriers and fitting team; this information is detailed fully below.

  1. How does Smart Storage use your information?

3.1 Personal Data Collected by Smart Storage

In order for Smart Storage to provide certain services and to meet our contractual obligations with you, it is necessary for us to collect certain personal information. We collect your personal data at a number of different stages for a variety of purposes which are clearly detailed below.

3.2 Requesting a Quotation Online

When you submit a Quote Request form on our website smartstorage.ie, you will be asked to provide us with certain information so that we may contact you and provide you with an accurate quotation. We retain this information for a period of 10 years in order to provide you with a quotation and information relating to your quote request. This information is recorded within the Smart Storage database and within Hubspot CRM for the purposes of managing your quotation request. We will also use this information as part of our sales order process if you decide to purchase from Smart Storage.

The information submitted when you submit a Quote Request may also be shared with a third-party data processor, Zevas Communications Ltd, for the purposes of providing you with a quotation and selling you our products and services.

When submitting a Quote Request form you will be asked if you would like to opt-in for marketing purposes. If you choose to opt-in for marketing purposes we will use your contact information to contact you with exclusive offers and discounts by email and other electronic means.

Please Note; you may unsubscribe from our marketing database at any time through emailing customerservice@smartstorage.ie, or by clicking the unsubscribe button contained in the footer of our marketing emails. We aim to process all unsubscribe requests within 72 hours. If you choose to unsubscribe, we will keep your email address on file to ensure you are not contacted again for marketing purposes by Smart Storage.

Smart Storage may collect your personal information for the purpose of providing a quotation, product or services. Where personal information is collected and you do not become a client of the Smart Storage, your personal information may be retained.

3.3 Requesting a Quotation by Phone or Email

When you request a quote via telephone or email, you will be asked to provide us with certain information so that we may contact you and provide you with an accurate quotation. We retain this information for a period of 10 years in order to provide you with a quotation and information relating to your quote request. We will also use this information as part of our sales order process if you decide to purchase from Smart Storage.

The information you supply when requesting a quotation by phone or email may also be shared with a third-party data processor, Zevas Communications Ltd, for the purposes of providing you with the quotation and selling you our products and services.

When requesting a quote you may be asked if you would like to opt-in for marketing purposes. If you choose to opt-in for marketing purposes we will use your contact information to contact you with exclusive offers and discounts by email and other electronic means.

3.4 Purchasing a Supply and Fit Unit

When you decide to purchase a supply and fit unit from Smart Storage we will need to collect information from you in order to fulfil our contractual obligations. We will collate this with the information previously supplied by you when requesting a quotation. This information includes the following; the measurement of your staircase, photos of the staircase and hallway, and further details about your home and precise location. Information regarding your location, contact details, fitting requirements and parking facilities will be shared with our fitting team to ensure that we can successfully fulfil our contract with you. We retain this information for a period of ten years.

When purchasing a supply and fit unit, you will be provided with a number of payment options including payment by credit/debit card or bank transfer, in addition to a finance option.

  • If you choose to pay by direct debit we will send you our company bank details and request that you to include your order reference number with your payment for administrative purposes.
  • If you choose to pay by credit/debit card we will need to take your billing information and credit/debit card details over the phone. Our payments are processed through a secure payment gateway powered by Global Payments. Please Note; we will always pause our call recording system when collecting payment information to ensure that your details are protected.
  • When purchasing a supply and fit unit from Smart Storage you will have the option of paying via our finance option. If you would like to pay by finance, your sales agent will ask you four preliminary questions to assess whether you qualify for the next stage of your finance application. These screening questions relate to the following; whether you are resident in Ireland for more than three years, whether you are between the ages of 18 and 83, whether you own your own property and your employment status. If the initial screening questions are successful your finance application will progress to the next stage.
  • After this stage, all finance applications are processed by Humm by Flexifi for customers based in Ireland. Humm by Flexifi will require further information from you in order to process your finance application. This information is entered directly into Humm by Flexifi’s system and is never stored on the Smart Storage database. 3.5 Purchasing a Flat Pack Unit

When you decide to purchase a flat pack unit from Smart Storage we will need to collect information from you in order to fulfil our contractual obligations. We will collate this with the information previously supplied by you when requesting a quotation. This information includes the following; the measurement of your staircase, photos of the staircase and hallway, and further details about your home and location. We retain information relating to your order for a period of ten years.

Certain information will be shared with our manufacturing facility to ensure the successful fulfilment, processing and delivery of your flat pack unit. This includes your order details, name, address, email and phone number.

Your name, email address, address and phone number will be shared with our nominated courier, presently DHL, to ensure delivery of your order to you.

When purchasing a flat pack unit, you will be provided with two payment options including payment by credit/debit card or payment by bank transfer.

  • If you choose to pay by direct debit we will send you our company bank details and request that you to include your order reference number with your payment for administrative purposes.
  • If you choose to pay by credit/debit card we will need to take your billing information and credit/debit card details over the phone. Our payments are processed through a secure payment gateway powered by Global Payments. Please Note; we will always pause our call recording system when collecting payment information to ensure that your details are protected.

3.6 Purchasing Products via our Online Shop

When purchasing products from our online shop at smartstorage.ie we will need to collection personal data from you in order to process your order and to fulfil our contract with you. This includes the following information; your full name, company name, billing and shipping addresses, phone number and email address.

Your full name, company name, email address, phone number and address will be shared with our nominated courier, presently DPD, to ensure delivery of your order to you.

All payments made on our online shop are processed through a secure payment gateway called Stripe.

We retain information relating to your purchase for a period of ten years.

3.7 Purchasing Products by Telephone

If you choose to purchase products available from our online shop over the telephone we will need to collect the following information from you in order to process your order and to fulfil our contract with you. This includes the following information; your full name, company name, billing and shipping addresses, phone number and email address.

Security

Our website uses a SSL (Secure Socket Layer) to help to secure and protect your personal information. We store this information on a server which is protected by a website firewall for security purposes; this helps to protect our website smartstorage.ie from attacks and malware.

3.9.2  CCTV

Smart Storage does use camera surveillance systems (commonly referred to as CCTV) throughout our organisation for the purpose of maintaining the safety and security of its staff, patients, visitors and other attendees.  Smart Storage’s CCTV systems may, but will not always, collect and store personal information.  Smart Storage will comply with the GDPR and this Privacy Policy in respect of any personal information collected via its CCTV systems.

3.9.3  Telephone Recording System

At Smart Storage, all incoming and outgoing calls to and from our office are recorded for training and quality purposes. These recordings may also be used to clarify customer requests and to investigate customer complaints. Please Note; our call recording system will always be paused when we are collecting payment details to help in protecting and securing your payment information.

3.9.4 Mailchimp

If you choose to opt in for marketing purposes, or decide to sign up for our newsletter, we will upload your information to Mailchimp. Mailchimp is the world’s largest marketing automation email and we use this platform in order to send you emails with details of our latest offers, sales and news. This platform also helps us to manage our marketing lists and to unsubscribe users who do not wish to be contacted for marketing purposes.
